We Love When Event Organizers Hold Events Here

As the host town we do require you to go through a formal application process to ensure your event goes off without a hitch. Completing our short form application below will begin the process and will allow us to review your event and guide you through any additional steps needed to get your event permitted.

 

A special event permit is required for any organized gathering for any purpose for a limited period at which any two or more of the following apply:

    • The expenditure of our resources is contemplated or is deemed necessary by town personnel to maintain public health, safety and welfare.

 

    • Your event requires the use of our facility or property.

 

    • Your event is expected to have a visual, noise or other environmental impacts upon the immediate vicinity or surrounding area of your event.

 

    The application and review requirements for events change, depending upon the classification of the event:

        • Minor Events: Any special event for which daily attendance is expected to be less than one thousand (1,000) people.
        • Major Events: Any special event for which daily attendance is expected to be more than one thousand (1,000) people and/or the special event is to take place on multiple consecutive days.
        • Seasonal Events: Any one organization conducting multiple special events throughout the (1) Winter Season – November 1 through April 30 or (2) Summer Season – May 1 through October 31. – Please contact Zoe Dohnal with Community Engagement.
        • Busking: A group of no more than three (3) members performing in the Village Center and Town Hall plaza areas.
        • Banners and Temporary Signage

     

      Applications submitted after set deadlines are subject to late fees:

            Pre-Application Summary

            Thank you for considering to host a special event in the Town of Mountain Village. It is our goal to assist event organizers in planning safe and fun events!

            ** submissions may be subject to denial, penalty fees, denial of future special event permit applications or the requirement of a cash deposit or surety bond.

            The Special Event Summary Form (to the left) helps us understand your event before you fill out an entire application. We will then confirm event proposals, venues and dates. Please include as much information as possible in your narrative.

            NOTE: All event summary questions and fields are required.

             

            Event Calendar Submission

            If an applicant would like their event to be on the Town of Mountain Village’s Event Calendar and a part of the Town of Mountain Village’s Communication Schedule, please fill out the SUBMIT AN EVENT online form including photos and description.

             

            Event Fee

            All applicants must submit any required deposits or fees to confirm event date holds.

            Special event fee is to be paid by online of by check mailed by CERTIFIED MAIL  or personally delivered to 455 Mountain Village Blvd, Suite A Mountain Village CO, 81435 made out to Town of Mountain Village. This fee does not encompass any additional permit or licensing fees.

              • Major Event – $250 Event Fee
              • Minor Event – $50 Event Fee
              • Non-Profit – Fee is waived (Please submit a copy of your non-profit status when requesting fee waiver)
              • Busking – No Fee
              • Banners and Temorary Signage – $50 Fee which includes banner placement.
              • Late Fee – If application is submitted after corresponding deadline
              • Addendum Fee – If applicant reguires an alteration or addition to an executed permit

            Special Event Fees




            Due no later than 60 days (Major Event) / 30 days (Minor Event) prior to event start date

            STEP 2: Application Details and Review

            The Town of Mountain Village has received a Special Event Summary Form and accepted the scale and timeline of the event. Now a full Special Event Application (to the left) may be submitted for review.

            All proposed event documentation and full details of the event will be required.
